VM Tech ("VM Tech", "we", "us", or "our") provides onsite and online IT support services to individuals and businesses in Greater Vancouver, British Columbia, Canada. This Privacy Policy explains what personal information we collect, why we collect it, and how we protect it, in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
1. Information We Collect
- Contact & account information: name, company name, email address, phone number, and mailing address, collected when you request service through our booking form, contact us, or are set up with a customer portal account.
- End user information: for organizations we support, the name, department, email, and phone number of individual staff members ("end users") who submit support requests through our Desktop Client application, so our technicians know who they are assisting.
- Device information: identifiers for the computers and devices we support (such as device name and remote-support ID), used to provide and track service.
- Support records: the details of your support tickets, including issue descriptions, work performed, session start/end times, and resolution notes.
- Billing information: time worked, billing rates, and invoice details. We do not collect or store credit card numbers on our website; invoices are settled through the payment method agreed with you directly.
- Technical information: standard website usage data (such as pages visited and browser type) collected automatically when you use vmtech.ca.
2. How We Use Your Information
We use your information to:
- Schedule and provide the IT support you request;
- Communicate with you about your tickets, invoices, and account;
- Maintain accurate billing and service records;
- Improve our services and respond to inquiries;
- Meet legal, accounting, and regulatory requirements (e.g. GST record-keeping).
We do not sell your personal information to third parties.
3. Remote Access to Your Devices
Some of our support sessions are performed online using remote-access software (e.g. UltraViewer). Remote access is only used to perform the support you have requested, and only for the duration of the session. We recommend you remain present, or have staff present, during any remote support session.
4. Who Can See Your Information
Access to your information is limited to VM Tech staff who need it to provide your support (technicians assigned to your tickets and management). If you are given a customer portal account, you or your organization's authorized representative can view your own company's tickets and invoices; portal access is restricted so that other customers cannot see your information.
5. Data Retention
We retain support and billing records for as long as needed to provide our services and to meet our accounting/tax obligations, and then delete or anonymize them, unless a longer retention period is required by law.
6. Cookies
Our website uses essential cookies required for it to function (for example, to keep you signed in to the customer portal). We do not use cookies for third-party advertising.
7. Your Rights
Under PIPEDA and BC's PIPA, you may request access to the personal information we hold about you, ask us to correct it, or withdraw your consent for us to use it (which may limit our ability to provide service). To make a request, contact us using the details below.
